Office Administrator

We are looking for a German & English speaking Office administrator to join our King team in Berlin.

This position is responsible for coordinating daily office operations and maintenance and to help ensure that this site is compliant with all local laws and legislation. Provides proactive solutions to facility related issues and problems. To help maintain a safe and comfortable working environment for all staff and visitors.  Maintain, vendors, building services and site operational activities for King and other locations as and when required.

  • Must be fluent in German and English

  • Regular liaison and engagement with our Kingsters, suppliers, vendors, building security and building engineering, providing timely feedback for local stakeholders

  • Manage the WPM JIRA helpdesk tool ensuring all jobs are logged and completed

  • Assisting the Group Workplace Manager in general admin, ad- hoc and other tasks as required

  • Work with Global event team in helping facilitate ad hoc activities and events

  • Support group Workplace manager with PO creation, goods receipting and other financial tasks

  • Deliver first class customer service to all our customers, the employees and contractors of King.

  • Order office supplies, coffee and other services needed in the office

  • Direct contact with cleaning company if actions are needed

  • Distribute mail, courier packages and other deliveries throughout the day

  • Regularly inspect first aid boxes and fire equipment to maintain proper equipment in the office

  • Fault reports to landlord, and close contact with Workplace Manager in larger warranty issues and errands

  • Administering key fobs for employees, as well as access cards for employees, contractors and visitors.

  • Making orders for restocking office supplies, snacks, drinks and breakfast items after receiving inventory from the day porter.

  • Completing tickets lodged to the Workplace dashboard for services such as couriering, taxis, lunches, special supplies, visitor registrations, flower orders etc.

  • Keeping the office area and meeting rooms are tidy and organised. Being the prime contact with the cleaning company and doing controls to make sure the cleaning is being done to our standards.

Skills to Create Thrills

  • PC skills, including basic MS Excel, Word, and PowerPoint

  • Excellent collaborator, capable of working with others to find solutions to complex problems and shared goals with and without authority.

  • Personable and collaborative with a track record of working successfully across teams

Key Attributes

  • Must be fluent in German and English

  • Must be flexible and adaptive to new processes and to the requirements of the business in general.

  • Possess strong customer service values

  • Be able to communicate with all levels of management, staff and visitors and all suppliers in a clear, polite, and confident manner.

  • Logical approach to problem solving whilst still finding creative ways to deal with issues daily.
