Events Lead Producer

We are looking for a hands- on Event Lead Producer to assist in the planning, implementation and control of a large internal hybrid event, with a main focus on content production, ensuring consistency with company strategy and goals. The role will report to the Global Senior Events Manager, who will act as the Event Director for this project.
The ideal candidate will have a minimum of five years of content production experience that includes a variety of successful virtual / hybrid / live events in the tech/marketing environments. You must be quick on your feet, motivated, strong team player, with a positive, inclusive and humble approach. You should understand the agenda, content and engagement necessary to deliver a culture- driven event.
You’ll work hand in hand with the Event Director and help coordinate the project team and their assigned work streams.
The contract will start in October 2021 until end of May 2022.
Develop and manage the project plan and event timelines.
Schedule and facilitate project team meetings, agenda and minutes.
Schedule and facilitate catch up with each of the event work streams, ensuring cross- functional work and on time deliverables.
Oversee all project deliverables and ensure deadlines are met, constantly monitor and track progresses.
Clearly and proactively communicate project status updates, issues and changes to the Event Director.
Engage the Event Director for sign off on all content and event deliverables.
Liaise with external suppliers/agency to ensure production elements are defined and delivered. Manage the day- to- day relationship with these vendors.
Act as the main point of contact for all event content production, such as speakers, keynotes, workshops, presentations, briefing, videography and photography.
Work with the relevant functions to ensure content is in place and aligned to the event objectives. Establish and oversee workflow and day- to- day details of content planning and creation.
Help define the event agenda, pitch ideas and brainstorm to identify compelling content opportunities. Utilize data from previous events to increase attendee engagement and value.
Source external speakers that match event values and the needs of the audience if required.
Provide speaker support and resolve issues that arise during the event. Manage onsite speaker logistics such as dry runs, scheduling, show flows, etc.
Manage assigned project funds according to established accounting policies and procedures.
Support the project team to ensure all financial records are up to date and prepare financial reports and supporting documentation when required.
Work with the Health & Safety team to identify, assess and manage risks to the success of the event.
Manage post event project evaluations and assessment of results, including surveys, attendance reporting and internal de briefs.
Performs any other job- related duties as assigned.
Skills to create thrills
Fluent in English. Additional fluency in Spanish is a plus.
Extensive professional experience in virtual / hybrid / live conference production
Strong interpersonal, organizational and time management skills
Excellent understanding of virtual event technology, live streaming and webcasting
Proficiency in navigating video conferencing platforms, Zoom is a distinct advantage
Ability to manage multiple stakeholders and work across teams
Ability to multi- task in a fast- paced environment, act with a sense of urgency, and interface with all levels of the organization
Ability to work under pressure, negotiate and resolve problems and conflicts whilst building and maintaining relationships
Ability to work from a strategic perspective, developing creative, innovative and visionary approaches
Strong working knowledge of Google tools and Microsoft Office, in particular Excel, Power Point, Google Drive.
Experience in working with event management applications and travel registration sites.
Excellent communicator and facilitator with superb spoken, written and presentation skills.
Humble attitude, open to feedback, respectful of other views and true team player.
Confidence, tact and diplomacy to develop and build strong relationships.
Must be able to physically assist during the event.
