Workplace Coordinator - Foster City, CA
We're looking for a passionate and proactive Workplace Coordinator to support and assist the Workplace Management function in all aspects of the successful day- to- day running of the Foster City office.
Your role within our Kingdom
Reporting to the Workplace Manager you are responsible for delivering a first- class service to our internal customers and key stakeholders. You will efficiently execute the effective delivery of our services in a safe and compliant manner consistent with our Global Workplace Management policies.
The normal working hours of this role will be 9:00am until 5:00pm, Mon – Fri, and flexibility to work outside of these hours when required.
As a Workplace Coordinator, you will:
Work closely and in alignment with the Workplace Manager in delivering a consistent and excellent customer service
Contribute to the Workplace Management function in maintaining an environment that fosters and enables creativity and enhances the customer journey
Regular liaison and engagement with our internal customers, suppliers, building security and building engineering, providing timely feedback for stakeholders
Ensure compliance with our health and safety, fire safety, security, contractor controls and policies & procedures
Daily building walkthroughs and inspections and maintain a clean and safe environment free of tripping hazards and fire hazards
General housekeeping of meeting rooms and ensuring office is presentable at all times
Manage the provision of stationery and stock general office supplies
Assist in the planning and coordination of fire drills and act as a fire warden.
Assist in moves & changes/churn, seating plan and overall coordination of office services.
Onboarding new starters with desk setup, Workplace Management presentation, and office tour.
Accurate record keeping and data management consistent with the systems provided
Coordinate facilities maintenance and repair schedules as needed including, but not limited to, mechanical, electrical, plumbing, janitorial, etc.
Manage the WPM helpdesk tool ensuring all jobs are logged and completed
Assisting the Workplace Manager and department in general admin, ad- hoc and other tasks as required
Manual handling where required.
Undertake all relevant training as necessary
Provide physical event setups (all- hands, internal events, off- sites, etc..)
Provide exemplary customer service to employees.
Identify problems and suggest solutions in a proactive manner.
Distribute mail, courier packages and other deliveries throughout the day
